Knowledge inside the working screen

Bring relevant guidance into the record someone is already handling.

Guidance beside the active work

An internal knowledge feature can sit beside a request, case or project record. The person handling that work can inspect relevant guidance without copying details into a separate chat window or losing their place in the application. We design the connection between that working context and the material the person needs.

For a hypothetical project-intake tool, a coordinator might open a proposed assignment and ask which approval applies to its scope. The application already holds the project reference and the coordinator’s permitted view. It can use the agreed parts of that context to retrieve guidance, while keeping the request and the next available action on screen.

Choose what context the feature can use

Using an active record in a query is a design choice, not permission to send every field to a model. We define which details are relevant, which sources may be searched and what the signed-in user is allowed to receive. A customer account selected in the interface must not grant access to another account’s material.

The interface can show the record details used for the query and let the user correct an assumption before continuing. A question about a project’s approval requirements should not quietly become a question about the company’s general policy if the project has different terms. The application needs to keep that distinction visible.

Build around maintained collections

A useful starting collection has an identifiable purpose and someone responsible for maintaining it. Current procedures, project-specific documents and older reference material should not automatically carry the same weight. The build scope defines which collections are included and how updates or changed access reach the application.

The supporting material remains available from the working view. A reader may need the relevant passage and its revision information to decide whether it applies. We keep that inspection close to the task rather than presenting a fluent answer as sufficient evidence. What is shown depends on the source information actually available.

Decide what the person can do next

Finding guidance is only one part of the task. The person may need to record a reason, ask a colleague or continue to a separate approval screen. We build those transitions around the agreed process, preserving the relevant record context as the person moves between views.

When the available guidance does not settle the question, the application can preserve the question and the material already checked for the team responsible for the decision. We evaluate the feature with representative tasks from that working context, including cases that require clarification. The check is whether someone can reach a supported decision without the application concealing a gap.
